Hurricane preparedness checklist

Before evacuation orders are called by Public Officials, there are some things you can do to prevent loss and save time:

* Get both the employees needed to execute your recovery plan and your vital records out of the area early.
    - During evacuations roadways can get crowded and airports may close. This can
make it difficult to get both the employees you need to execute a recovery plan
and your vital records out of the area being evacuated.
   - Have a plan to get necessary employees and vital records to a “safe area” during Hurricane Watches or Flood Watches before warnings and evacuation orders are issued.
      o The “safe area” should be in a place out of harm’s way.
      o It should be a place where transportation is possible for your recovery team
and vital records.

* Make sure the members of your team and key executives in your corporation
understand the process to declare a disaster.
   - Have a communications plan in place: Communications can make or break your
company’s opportunity to mitigate loss. Ensure you have a communications plan
to inform employees, vendors, customers, business recovery team and the media
what is expected should evacuation orders be issued. The more that is understood
during the preparation process, the smoother the transition will be should you
have the need to execute your recovery plan.
   - Monitor the situation closely
      o Local official Web sites posting status changes
      o TV news
      o Radio news
      o Local announcements

If Evacuation Orders are issued by Public Officials preventing access to your company location you should:

* Again, get the employees needed to execute your recovery plan and your vital records out of the area as soon as possible.

* Execute your communications plan
   - Communicate with your support vendors with your status
   - Communicate to employees
   - Communicate with the media as appropriate
   - Determine the right time for you to invoke the services of your business continuity and disaster recovery provider.
   - Continue to monitor the situation closely

IBM Business Continuity and Recovery Services’s Emergency Operations Center is continuing to monitor Hurricane Ivan and the company is currently supporting many clients who were affected by Hurricane Frances and Hurricane Charley. In addition IBM’s Crisis Management team has been working with the state and local agencies, helping set up Business Assistance Centers and providing advisory services to people and businesses in need of financial, insurance and equipment assistance.
